Important Dates:

Final payment of SQI fees: June 3rd 2019 (paid online before arrival or by check upon arrival)

PLEASE NOTE: Arrivals beyond 4pm on check-in days are not allowed except in the case of travel delays. Any student who must arrive after 4pm should inform the Operations staff (216-559-4015) or operations@encorechambermusic.org of their expected arrival time. Regular food service begins at dinner the day of check-in.

How many students will be at ENCORE, and what is the age range? String Quartet Intensive will have 8 full quartets, or 32 students total ranging in age from 18 to 29. Summer Academy has about 50 students ranging in age from 12 to 26.

Will I have a roommate? Yes. Gilmour dorm rooms are double occupancy; boys and girls live in separate wings of the Residence Hall. If you would like to room with a specific ENCORE student or if you have other concerns regarding dorm living, you may fill out a roommate request form (located in the student information forms).

Is there air conditioning in the dorms? There is no air conditioning in the dormitory. Students should bring fans to keep their rooms cool.

What kind of security does the dorm have? The outside doors to the dorm complex are always locked and require an electronic keycard. The individual dorm rooms have locks; students are encouraged to keep their rooms locked while they are out. Students will also get swipe cards to access other the buildings we use on campus. What should I bring for performance attire? String Quartet Intensive students are encouraged to coordinate outfits with their group members. Summer Academy students should bring a variety of dress clothes for performances and master classes - recommendations are outfits including black dress pants, below-the-knee skirts, button-down shirts, blouses, or dresses, etc. Summer Academy students should also bring a white shirt and black pants or skirt for ENCORE Camerata performances.

Besides the Camerata dress code, there are no specific requirements for Summer Academy concert attire, beyond an expectation that all dress nicely.

All ENCORE students should note that there is no air conditioning in ENCORE’s performance space. The temperature in Tudor House can get quite hot, especially during afternoon concerts. You will want to bring performance attire that is lightweight and breathable for your own comfort.

I’m flying into the Cleveland airport - how can I get to Gilmour Academy? Students flying into the Cleveland Hopkins International Airport may schedule a shuttle ride with Gilmour Academy transportation services. Each ride costs $40 one-way. You can indicate interest in scheduling a shuttle ride using the Transportation Form.

Shuttle run times are listed below – please do not book a flight that arrives outside of these hours (though every effort will be made to accommodate late arrivals due to flight delays):

SQI arrivals: June 3rd, 11am-4pm

SQI departures: June 24th, 5am-12pm

Academy arrivals: June 25th, 11am-4pm

Academy departures: July 16th, 5am-12pm

NOTE: For safety purposes, any student who is under the age of 18 and flying alone MUST schedule a shuttle ride with Gilmour Academy transportation services – no exceptions.

Can I keep a car on campus? Only students over the age of 18 may bring a car. Parking is available for ENCORE students by the Residence Hall. You will need to obtain a parking pass on the first day of your program and display the pass on your dashboard. There is no fee for the pass, but without it you could be ticketed or towed by Gilmour. More information can be found in the “Vehicle Use” section of the Student Handbook.

How can I send or receive mail while at ENCORE? All student mail should be sent to:

Mail will be sorted and brought to the Residence Hall Monday-Friday.

Students can give outgoing mail to staff at the ENCORE desk in the Middle School building. Please bring your own stamps and packaging to the festival.

Is there a curfew? For students under the age of 18 there is a curfew. Quiet hours are enforced on campus and in the dorm starting at 10:30pm each night (except Friday and Saturday—11:30pm) and lasting until 7:30am the following morning, with no exceptions.
Under-18 students are required to be in their rooms by 10:30pm Sunday through Thursday, and by 11:30pm on Friday and Saturday. 
For students 18 and over it is suggested to be in their rooms by 11:30pm Sunday through Thursday, and by 12:30am on Friday and Saturday. Keep in mind that even though older students don’t have a curfew, the quiet hours listed above should be observed both in the dormitory and across the entire Gilmour campus.

What are the meals like? What if I have special dietary needs? Gilmour Academy partners with AVI Foodsystems for all dining services. Daily meals in the Gilmour cafeteria will include a variety of items, including an entrée, a vegetarian option, and a salad bar. Students must include dietary restriction information in their medical form. If a student has severe dietary restrictions, Gilmour kitchen staff will work with that student (or parent) individually to ensure that their dietary needs are being met.

How can I access the Internet? Wireless internet is available throughout Gilmour’s campus. Internet login will be given during orientation.

Can I have a refrigerator and/or microwave in my dorm room? No.

Are there laundry facilities? Laundry facilities are available in the basement of the Residence Hall.  Use of machines is free. You will need to bring detergent.

Is there anything I may not have in my room? Alcohol, drugs, and drug paraphernalia are not permitted in the Residence Hall at any time, even if you are 21 years of age or older. ENCORE policy is immediate dismissal, without refund, for possessing or drinking alcoholic beverages on campus or while participating in ENCORE-sponsored off-campus trips (even if student is 21 years of age or above), selling or furnishing alcohol to a minor, or using drugs at any time. Gilmour and ENCORE policies also prohibit weapons, candles, incense, and cooking devices or other high-wattage electrical devices.

Is there housekeeping in the dormitory? Housekeeping is provided only for common areas and dormitory bathrooms. Any damage or maintenance issues in the dormitory should be reported promptly to ENCORE Resident Assistants or the Gilmour Dorm Director. ENCORE students are responsible for cleaning and taking care of their dorm rooms. Please keep in mind that ENCORE students are guests on the Gilmour campus, and as such should treat their living space with care and respect.

Are religious services available? Gilmour hosts Catholic religious services in Our Lady Chapel that ENCORE students may choose to attend. Students may also choose to attend other religious services in the area, although ENCORE is not able to provide transportation. Under-18 students who choose to attend an off-campus religious service will need to have permission from a parent or guardian.

Where do students practice? Students may practice in the Middle School Building and in their dormitory rooms. Summer Academy students will also have access to the Classroom Building during regular business hours. A map of the Gilmour campus is included in the Student Handbook.

How do students get information they need while at the festival? The daily schedule will be posted at the ENCORE desk in the Middle School building. Students should make a habit of coming by the desk several times a day to stay up to date on scheduling changes. ENCORE staff also may make mealtime announcements and send emails with scheduling information. Any dorm-related information, including phone numbers of on-duty Resident Assistants, will be posted on the whiteboard in the Residence Hall.

Are there athletic facilities available? Students may take advantage of the Gilmour Academy Athletic Facility pool and weight room during designated hours. Hours for the Athletic Facility pool and weight room will be posted in the Residence Hall and/or by the ENCORE desk in the Middle School. Festival students can also organize informal running groups, soccer and Frisbee games on the many acres of outdoor field and recreation spaces on campus. Students who wish to use the Gilmour Athletic Facility can indicate their interest on their medical form; they will then receive via email a liability waiver to be signed and returned on check-in day at ENCORE Chamber Music.

Is smoking allowed on campus? No. Gilmour Academy and ENCORE Chamber Music prohibit all tobacco use on the Gilmour Academy campus: no smoking, no vaping or e-cigarettes, no tobacco chewing anywhere on campus, inside or outside. ENCORE’s full policy on alcohol, smoking and drugs is available in the Student Handbook.

May parents visit during the festival? May relatives or friends visit? Parents are welcome to visit campus and attend concerts (Blooming Artists concerts are free; tickets for the Faculty and Guest Artist Series concerts are $30, and $10 for students with valid ID). If parents plan to take their child off-campus, they must sign their child out according to normal rules.
Any other visitors are free to visit campus, but are not allowed into the dormitory. Likewise, parents must give specific permission in advance if other visitors wish to take an under-18 student off-campus.

No visitors, including parents and siblings, are allowed to stay overnight in the Residence Hall.

What if I need medical care? It is important for every student to submit a Medical Information & Treatment Authorization form before coming to ENCORE Chamber Music. Medical personnel need permission from parent or legal guardian  before giving treatment to students who are under 18 years of age. In case of medical emergency, ENCORE needs basic information about each student’s medical history and any medications currently being taken. Students will manage their own medications unless the student and/or parent would like to request that Resident staff monitors medication for them. Gilmour Academy also has a nurse present at the nurses’s office in the Lower School during business hours. For emergencies, anyone present should call 911 as well as notifying the ENCORE Operations Director.

How safe is the campus? The Gilmour campus is a reasonably safe and secluded place. We do however, ask that all students walk in pairs or groups, especially at night. If leaving campus, students of all ages must sign out in the dormitory and via text to the Operations Director with their destination and time of leaving/returning. Students under the age of 18 must receive permission from a parent or guardian to leave campus. Please see the Off Campus policy in the Student Handbook for more details about going off campus as a minor.

Should parents give their under-18 student permission to leave campus? Parents are not required to give their child off-campus permission, though we have found that underage students do appreciate the freedom to take ride-share services to nearby stores and restaurants during their spare time. ENCORE staff reserve the right to take away off-campus privileges in the case of rule violations, and parents may give or rescind permission for their underage child to go off-campus at any time before or during their child’s time at ENCORE. For more details about off campus permissions and rules, please see the Student Handbook sections “Off-Campus Privileges,” “Taxi & Ride-Share Policy,” and “Vehicle Use.”

Off-campus permission forms will be emailed out to parents of underage students by the ENCORE Operations Director.

How much spending money will I need? The amount students spend while at ENCORE can vary widely depending on each students’ interest in off-campus excursions. There will be very little opportunity to purchase anything on campus as all meals are provided in the Gilmour cafeteria; however, spending money can be useful for purchases at nearby stores or the occasional night out at local restaurants. Students should note that Gilmour does NOT have an ATM on campus.

What if my instrument needs repair? Students can get repairs done or purchase strings and other supplies at Cleveland Violins, (216) 932-9310. ENCORE staff can help coordinate transportation to the shop for students who need instrument repairs during the festival.

Will I get to perform at ENCORE? All ENCORE students will get a chance to perform on our Blooming Artist concerts. Family and friends are encouraged to attend these performances as well. Students will find out their concert assignments in the final week of their program. The faculty makes decisions on program and concert order, and will post programs at the Middle School desk once they are decided. Dates and times for the Blooming Artist concerts are listed in the Student Handbook under ““Season Events.”

Can I get a recording of my performance? Yes! Student concerts are recorded, and we will make recordings available to participants in the fall. 


Summer Academy FAQs

What repertoire should I bring to the Summer Academy? Students should bring at least 2 pieces to the Summer Academy - one “ready to perform” piece for master classes and performance classes, and at least one piece to learn or continue to study at the Academy. Students should notify ENCORE of their repertoire choices by filling out the Repertoire form. If you choose to update or change your repertoire, feel free to fill out the form again.

How do private lessons work? Students receive ten sixty-minute private lessons at the Summer Academy program. The faculty team-teach so students have the opportunity to work with every faculty member of their instrument.  Students may additionally sign up for extra 30- minute practice sessions with ENCORE associate faculty members according to availability.

How do I get a pianist? Academy students will be assigned a faculty pianist for specific repertoire. Students must provide their pianist with the piano score to their repertoire, and are responsible for scheduling piano coachings themselves. It is important that you fill out the Repertoire Notice in their student information forms so that we can accurately dole out faculty piano assignments prior to the start of the Academy program.

Will I get to play in master classes? The Summer Academy faculty determine who is ready to perform in master classes. Not all students will get the chance to perform in master classes, though all students are required to attend each class. For a full list of master class dates, please see “Season Events” in the Student Handbook.

What is the ENCORE Camerata? ENCORE Camerata is our student string orchestra. The Camerata rehearses with faculty members in the evenings periodically throughout the Summer Academy, and will perform a final concert on July 15 at the Hoover Auditorium in Lakeside Chautauqua – a 1 hour and 40 minute drive from Gilmour Academy.

Seating for ENCORE Camerata will be determined by your seating audition on June 25th. Please come to the Academy prepared to play a 3-5 minute excerpt of solo repertoire.

Can parents come to the Camerata concert in Lakeside Chautauqua? Yes! Parents who wish to attend the Camerata concert must email Operations Director Clara Engen in advance for tickets and parking passes. ENCORE is only able to offer a limited number of parking passes; as such we encourage parents to carpool.

Lakeside Chautauqua is a beautiful vacation spot with many outdoor activities, local shops and restaurants. We invite ENCORE family members to enjoy a wonderful day on the lake prior to picking up their child at the end of the program.
